Managing Documents, Billing, and Trust

This page shows you how to handle document work, legal billing, and trust activity without mixing them up.

Before You Start

  • Sign in to /dashboard.
  • Confirm the correct client organisation before generating, billing, or posting trust activity.
  • Know whether your task is document work, billing work, or trust work.

What are these three areas?

These pages often sit near each other in daily work, but they do different jobs:

  • Documents handles legal documents and templates.
  • Billing handles time, invoices, payments, and WIP.
  • Trust handles trust-specific financial control.

If you treat them as the same thing, you create bad records fast.

When do you use this page?

Use this page when you need to generate a document, review billing health, capture time, or record trust money movement. If you skip the distinction between these areas, users start telling clients the wrong thing or post the wrong activity in the wrong place.

Where do you find them?

Primary path: /dashboard -> Documents, Billing, Time Entries, or Trust

How to work in each area

Generate or manage a document

  1. Open /dashboard/documents.
  2. Confirm the correct organisation.
  3. Choose the correct template if generation is required.
  4. Generate or upload the document as your workflow requires.
  5. Confirm the document appears in the document list.
  6. Check status, version, and linked matter context before telling anyone the document is ready.

Review billing health

  1. Open /dashboard/billing.
  2. Check the summary cards first:
    • Unbilled WIP
    • Outstanding Invoices
    • Received This Month
  3. If work is missing from WIP, confirm time has been captured.
  4. If invoices are outstanding, confirm follow-up ownership.
  5. Move to /dashboard/billing/time if your immediate job is time entry.

Record trust activity

  1. Open /dashboard/trust.
  2. Confirm the correct client organisation.
  3. Choose the correct form: deposit or disbursement.
  4. Enter the transaction details carefully.
  5. Save the transaction.
  6. Confirm the balance and recent transaction views update as expected.

What if users mix these up?

"The document exists, so I assumed it was approved"

Why this happens: Document generation and document approval are not the same thing.

Fix: Confirm document status and review state before telling anyone the document is final.

"The client saw an invoice, so I assumed trust moved too"

Why this happens: Portal invoice visibility is not the same as internal trust movement.

Fix: Check the Trust page directly.
