Managing Clients and Cases

This page shows you how to create, find, and manage the right client and the right matter without mixing records or duplicating work.

Before You Start

  • Sign in to /dashboard.
  • Know the client organisation name before creating anything.
  • Confirm whether you need a new record or an existing one.

What are clients and cases?

A client is the organisation or person you are working for. A case is the actual legal matter or work item linked to that client. On paper, think of the client as the folder owner and the case as the file inside the folder that contains the real work.

When do you use this?

Use this page whenever a new organisation is onboarded, a new matter is opened, or an existing matter needs review. If you get this wrong, you create duplicate clients, misfile matters, and confuse portal sharing later.

How to manage clients and cases

Create a new client

  1. Open /dashboard/clients.
  2. Click New Client.
  3. Enter the organisation details requested by the form.
  4. Save the record.
  5. Return to the client list and confirm the organisation appears.

Open an existing client

  1. Open /dashboard/clients.
  2. Search or scroll for the organisation name.
  3. Select the linked client name.
  4. Confirm you are looking at the correct organisation before doing anything else.

Create a new case

  1. Open /dashboard/cases.
  2. Click New Case.
  3. Enter the matter details requested by the form.
  4. Link the case to the correct client or organisation.
  5. Save the case.
  6. Confirm the case appears in the list.

Review an existing case

  1. Open /dashboard/cases.
  2. Select the correct case.
  3. Confirm the reference, title, status, and deadline.
  4. Check whether supporting documents and activity are present.
  5. If the client needs visibility, confirm that only the right items are shared through the portal workflow.

What if something looks wrong?

"I found two client records for the same organisation"

Why this happens: A new record was created before the existing one was searched properly.

Fix: Stop creating new records, identify the correct record, and escalate cleanup instead of making the duplication worse.

"The case is visible in the portal, but the internal record has more detail"

Why this happens: Portal visibility is not the same thing as the full internal matter record.

Fix: Treat the internal case record as the primary operational record.
